General Purpose and Scope of Position:
Wilbur-Ellis is seeking an experienced Office Administration professional to provide office administration services in a fast-paced, customer-focused sales environment. The ideal candidate will assist in all aspects of customer service including order processing and inventory management.
Key Skills and Abilities Include:


  • Strong organizational skills are needed with an ability to prioritize multiple assignments.
  • High-level professionalism.
  • Proficiency with computers to intermediate level utilizing Microsoft Windows, Windows applications, and ERP order entry systems.
  • Knowledge of mathematical concepts and the ability to apply such concepts as fractions, percentages, and ratios to practical application with accuracy.
  • Strong interpersonal communication skills (verbal, written, and utilizing all media (phone, e-mail, text) for interaction with customers and co-workers.

    Key Personal Attributes Include:

    • High School Diploma or equivalent.
    • Ability to sit at a desk and/or computer terminal to perform writing and/or typing information for long periods of time.
    • Ability to work and contribute in a team setting.
    • Excellent attention to detail.
    • Ability to maintain a positive attitude with customers, co-workers, and management in high-stress situations.
    • Present professional image to customers through personal appearance.
    • Two to three years of previous experience in office support or another customer service-related field is preferred.
    • Agriculture industry experience is a plus.
    • Willingness to work overtime as needed

      Specific Responsibilities and Key Deliverables Include:

      • First point of contact in the office.
      • The primary point of contact for electronic order entry and processing (sales order, shipping documents, invoicing) utilizing JD Edwards Enterprise Resource Planning (ERP) software.
      • Answer multi-line phone system.
      • Provide administrative office support and assistance for operational leaders as requested.
      • Work with dispatcher to ensure trucks are loaded and dispatched correctly. Excellent verbal and written communication skills.
      • Oversee and coordinate office supply inventory.
      • Process accounts payable.
      • Process Accounts Receivable via remote deposit as well as maintain a daily credit card spreadsheet.
      • Accurate recordkeeping of invoices, delivery tags, and shipping documents for audit purposes.
      • Distribute daily incoming mail.
      • Assist and organize office events.
      • Assist with the overall office cleanliness.
      • Make use of standard office equipment, computer software programs, fax machines, postage machines, copier machines, etc. to effectively perform all aspects of position responsibilities.
      • Assist in all aspects of inside-office sales support.
      • Work with the Sales team to maintain accurate location and customer pricing via PROs pricing tool.
      • Work with the Sales team to assemble and distribute the annual Dealer price book.
      • Participate in the Inventory Accuracy Program through variance research and maintaining accurate on-hand inventory.
      • Work with all employees to assure all pertinent Retention Schedule rules are being followed.
      • Respond to customer sales/invoicing inquiries in a timely, accurate, and appropriate manner.
      • Provide customer service for walk-in customers and take accurate phone orders.
      • Promote safety throughout the branch and participate in all safety improvements and training.
      • Attend training sessions and meetings when necessary.
      • Support Operations and Sales Managers as needed.
      • Other duties as required.
      • Flexible schedule and willingness to work overtime during the busy season are a must.
