Job Description:

Job Summary: Coordinate special events including the annual, signature fundraising event, Mayfaire, the employee giving campaign We Care! We Share!, and Third Party fundraising events. FLSA: EXEMPT DUTIES AND RESPONSIBILITIES: Facilitates all aspects of event planning, with emphasis on the Foundation's signature event, Mayfaire Solicits sponsorships for Mayfaire, Solicits contributions for Mayfaire, WCWS and Foundation's Annual Fund Recruits Volunteers for Mayfaire, WCWS and other events as necessary Directs and oversees Foundation Fundraising Assistants in support of Foundation events Plans, facilitates and leads event related committees, including agendas, meeting arrangements, record keeping and correspondence Directs the development and coordination of collateral materials for events Develops and organizes timetables for events Coordinates all event logistics including contracts and agreements, venue access, entertainment details, etc. Maintains calendar of events Manages event spreadsheets and other ticket information Participates in meetings of the Board of Directors and their committees and provides verbal and written reports to the Foundation Board of Directors and the Development & Stewardship Committee of the Board. In coordination with other development staff, designs and provides education and personalized engagement plans for Board members. Develops budgets for events and monitors income and expenses Directs development and coordination of event communications and collateral materials Plans and executes stewardship including thank you letters, phone calls, recognition events Directs all event wrap up, including reports and final results Coordinates any third-party fundraising event details with event organizers and determines the Foundation's level of involvement Organizes and attends check presentations for third party fundraising events Works with other members of the Development Staff of the Foundation and the System Communications staff to create year-end and other direct mail solicitation letters and supporting materials. Designs donor segmentation plans and analyzes results. Keeps records for year-to-year comparisons and benchmarking of solicitation results. Identifies prospective donors, evaluates level of interest and capacity and maintains a portfolio of prospects. Creates goals and strategies for individual donor engagement and solicitation. Prepares goals for Annual Fund component of the Foundation's strategies, monitors progress and analyzes results Provides donor stewardship in the form of "thank-you" calls and other personal communication with donors. Sends "thank-you" notes as appropriate and signs gift substantiation letters as assigned. In coordination with other fund-raising staff, designs, implements and maintains other donor recognition through donor clubs, recognition societies and static and electronic recognition devices. Other fund-raising duties as assigned Demonstrates the ability to deal with pressure to meet deadlines, to be accurate, and to handle constantly changing situations. Demonstrates the ability to deal with a variety of people, deal with stressful situations, and handle conflict. Professional Requirements: Adheres to dress code. Completes annual educational requirements. Maintains regulatory requirements. Wears identification while on duty. Maintains confidentiality at all times. Attends department staff meetings as required within the department. Reports to work on time and as scheduled; completes work in designated time. Represents the organization in a positive and professional manner. Actively participates in performance improvement and continuous quality improvement (CQI) activities. Coordinates efforts in meeting regulatory compliance, federal, state and local regulations and standards Communicates and complies with the Benefis Health System Mission, Vision and Values as well as the focus statement of the department. Complies with Benefis Health System Organization Policies and Procedures. Complies with Health and Safety Standards and Guidelines. Education/Experience Requirements: 3-5 years experience in fundraising and special event planning. BA/BS preferred Exceptional organizational skills Excellent written and verbal communication skills Excellent computer skills with experience with Raiser's Edge a plus Community Information Great Falls has a city population of 60,000, with a draw of over 275,000 people in north central Montana.
